"11.4 The Committee may set rules for the conduct of the Clubs affairs from time to time provided always that such rules comply with this Constitution and any directions given by the Members at Annual General Meetings or Special General Meetings." "20. Rules 20.1 Race Rules The race rules of the Club shall be determined by the Committee. The Committee may delegate its authority on a race by race basis to an appointed Race Director. 20.2 Club Rules Each rule made by the Committee during the year for the conduct of the Club shall become null and void one month after the Annual General Meeting unless a resolution is passed at a Committee meeting that the rule be retained." RULE 1 VICE PRESIDENT Constitution states: "11.7 The position of Vice President shall be nominated from the present Committee by that Committee." Elected: John Pettersson RULE 2 EXECUTIVE OF CLUB Constitution states: "12.1 The Executive of the Club shall consist of the following officers: President, Vice President, Two members of the
Committee who have been elected by the RULE 3 REPRESENTATION ON OTHER BODIES 3.1 WASF Delegate: Steve Barrie. 3.2 WARWSA Delegates: Phil Webb, John Pettersson & Bob Braid (reserve) 3.3 President’s Council Delegate (WA Athletics Commission): Phil Webb RULE 4 WAMC POLICIES The Club shall adopt policies on Committee Conduct, Privacy, Drugs, Healthy Eating and SunSmart that shall be reviewed annually to ensure they remain relevant to WAMC needs. RULE 5 ANNUAL AWARDS AND PERPETUAL TROPHIES 5.1 Patrons Trophy Most outstanding Female performance over eight events. 5.2 Founder’s Trophy Most outstanding Male performance over eight events. 5.3 Masters Trophies Most outstanding female performance (35 years and over) and male performance (40 years and over) over eight events. Only events contested while at the specified age are included. 5.4 President’s Trophy Most improved member. To be determined by comparing the member’s 8 best race results in the previous award period with their 8 best results of the current award period. 5.5 Age Group Awards Most outstanding female performance and male performance over eight events in each of the age groups (starting from 16 to 19, then 20 to 24, 25 to 29 and so on). Where a member changes age groups during the period, the events contested at the older age group may be included in the eight events for the lower age group award. However, events contested at the lower age group can not be included in the eight events for the older age group award. A member may become eligible for two age group awards during the one award period (i.e. has the best performance in eight events in both age groups - this requires a minimum of 16 events). In addition, Under 16 Awards will be made to members under 16 years of age, based on the most outstanding female performance and male performance over three events having a maximum distance of 5km. If a member attains the age of 16 during the year, races in which the member competes from the birthday on may be counted for the purpose of the 16 to 19 age group as above. 5.6 Tony Barugh Trophy Awarded to a helper for outstanding voluntary service. Does not have to be awarded on an annual basis. 5.7 Lazarus Trophy To be awarded to a member who has come back from serious injury / illness. Does not have to be awarded on an annual basis. 5.8 Notes applying to all the above Awards 5.8.1 Period for awards is 1 October 2001 to 30 September 2002. 5.8.2 Awards will be presented at the Annual Social.
RULE 6 USE OF CLUB EQUIPMENT 6.1 Club events always take priority when Club equipment is required. 6.2 Club equipment can be used by outside organisations provided they guarantee to return the equipment in good condition including replacement if necessary. 6.3 Hire fees can be charged when considered appropriate. 6.4 The Equipment Officer and President (or acting President) can negotiate to hire or lend equipment when necessary. Any arrangements entered into must be notified to the next Committee meeting. 6.5 Display clock hire fee (inclusive of GST) will be $140.00. Display clock with scaffolding will be $220.00 RULE 7 SPONSORSHIP AGREEMENTS 7.1 Runners World.

RULE 8 LIFE MEMBERS Family members of Life Members may become financial members by paying the difference between the single and family membership rates. (Life Members being exempt from membership fees.) RULE 9 CLUB EXPENDITURE 9.1 All capital expenditure or commitment exceeding $100.00 (e.g. race equipment, office equipment, fittings, buildings, etc) must be approved by the Committee before proceeding. 9.2 All payments over $100.00 to be made by Club cheque unless otherwise approved by the Executive. 9.3 Special events will be controlled by a budget that will be the financial statement from the previous year’s event (as approved by the Committee) and anything not covered by the budget will be subject to the ruling 9.1. RULE 10 WAMC PROGRAMME – OTHER EVENTS Events not being conducted by the WAMC (or not measured by the club) and that do not clash with a WAMC event, may be included in the program (with a disclaimer) at the discretion of the Committee. RULE 11 NEW MEMBERS 11.1 Pro-rata Fees Membership fee for new members joining through the year (and lapsed members under special circumstances as determined by the committee) shall be on a pro-rata basis depending on time of year they are joining, as follows: 1st January to 30th June 100% of annual fee 1st July to 30th September 50% of annual fee 1st October to AGM 25% of annual fee AGM to 30th December following year 100% of annual fee
New members are not required to nominate to help at any events for their first year but may do so if they so desire. RULE 12 GRATUITIES & GIFTS WAMC committee and paid employees shall not accept gratuities or gifts or gifts for personal gain when given to entice WAMC favour or in performance of normal WAMC duties. Such items, if appropriate, may be accepted on behalf of the Club, when they can be used to the benefit of the Club as a whole (e.g. used as a prize, etc) or to become the property of the Club (e.g. a gift / souvenir or presentation from an aligned body to be displayed in the Club office). RULE 13 PAYMENT FOR WAMC DUTIES Our Club exists on the voluntary labour given by our members. Payment to members for their service when other members give their time without payments must be considered very carefully and as a last resort. Where possible, if voluntary labour / service can not be obtained within the Club then payment should be made to outside persons to carry out the required function. Such appointments must be clearly documented detailing work performed and payment made. RULE 14 USE OF WAMC LOGO The use of the WAMC logo shall be restricted to the official Club matter and official Club merchandise. Use by any Club member or other person for whatever purpose (other than the above) must be approved by Committee. RULE 15 RACE RULES 15.1 Club Race Awards and Prizes 15.1.1 Normal (scratch) Races.

15.2 Race Fees 15.2.1 Fees for competing in Club races will be:
15.3 Race Director The Race Director shall not compete in the event he/she is directing. 15.4 Distribution of ‘Other’ Material at WAMC Events Approval must be sought in writing, (with a sample of the material to be distributed) prior to the event (an absolute minimum of one week). Criteria for approval to include non-clash with WAMC events and sponsors of our event not to be compromised. All material to be distributed by WAMC personnel from a central point with "ONE" handout that may contain several stapled or packaged together. All applications to be approved by the Executive. A fee (inclusive of GST) will apply for this service in accordance with the size of the event where the material is to be distributed, as follows: 0 to 500 competitors $ 150.00 501 to 1000 competitors $ 200.00 1000 to 2000 competitors $ 250.00 over 2000 competitors $ 300.00 15.5 Events with a Relay Component For events where a relay is held in conjunction with a major event, runners in the relay will not be recognised in the major event results and any relay runner that start with the major event will result in that team being automatically disqualified. 15.6 Minimum Age For a marathon (42.2km) participants must turn 18 by the 31st December in the year of competition. For a half marathon (21.1km) participants must turn 16 by the 31st December in the year of competition. |
